La transformación digital de las instituciones de educación superior o IES en Colombia ha denotado el valor de una adecuada gestión de documentos electrónicos. En esta investigación se propone un modelo conceptual de gestión documental electrónica para integrar componentes estratégicos, tecnológicos, administrativos y archivísticos, lo que responde a la normativa nacional e internacional. Se identifican modelos, buenas prácticas y las barreras comunes; entre los marcos analizados destacan OAIS, ISO 15489, MoReq y el MGDA en el caso de Colombia, los cuales aportan los principios para la autenticidad, la integridad, la trazabilidad y la preservación digital. Sus resultados muestran avances en la implementación de sistemas para la gestión de documentos electrónicos, aunque persisten los desafíos como la baja integración de diferentes sistemas de información, la aún incipiente adopción de tecnologías emergentes, la falta de políticas internas y la limitada inclusión de la gestión documental en los procesos estratégicos. Se determina que no existe un modelo único aplicable, por lo cual se propone un modelo adaptable para las IES, que dependerá claro está, de la realidad de cada institución, de su nivel de madurez y de sus necesidades.
The digital transformation of higher education institutions or IES in Colombia has highlighted the value of proper electronic document management. In this research, a conceptual model of electronic document management is proposed to integrate strategic, technological, administrative, and archival components, which complies with national and international regulations. Models, best practices, and common barriers are identified; among the analyzed frameworks, OAIS, ISO 15489, MoReq, and the MGDA in the case of Colombia stand out, which provide the principles for authenticity, integrity, traceability, and digital preservation. Their results show progress in the implementation of systems for managing electronic documents, although challenges persist such as the low integration of different information systems, the still nascent adoption of emerging technologies, the lack of internal policies, and the limited inclusion of document management in strategic processes. It is determined that there is no single applicable model, so an adaptable model for higher education institutions (HEIs) is proposed, which will clearly depend on the reality of each institution, its level of maturity, and its needs.
